At Journal by VISWAM PUBLICATIONS, we aim to uphold the highest standards of integrity and transparency in scientific publishing. Our withdrawal policy outlines the procedures and conditions under which authors can withdraw their submissions from the peer review or publication process, ensuring that authors, editors, and the public are all treated fairly.
1. General Principles
Withdrawal before peer review: Authors are permitted to withdraw their manuscript at any time before the peer review process begins, without penalty or consequences.
Withdrawal after submission to peer review: Once a manuscript has entered the peer review process (i.e., it has been assigned to reviewers), authors may request withdrawal, but they should be aware that the submission may have already been evaluated, and withdrawal at this stage can impact the workflow of the journal.
Withdrawal after acceptance: Once a manuscript has been accepted for publication, authors may request withdrawal, but this will only be considered in exceptional cases (such as errors in the data, ethical concerns, or personal reasons), and may be subject to the approval of the editorial team.
Withdrawal after publication: After an article has been published online or in print, it cannot be withdrawn. If an author wishes to retract their article due to serious issues (e.g., ethical violations, falsification of data, or other significant errors), a formal retraction process will be initiated instead of a simple withdrawal.
2. Procedure for Withdrawal
Withdrawal before peer review: To withdraw a manuscript before it enters peer review, authors must send an email request to the editorial office VISWAM PUBLICATIONS with the subject line “Withdrawal Request for Manuscript [ID or Title].” The request should include:
- The manuscript title
- The reason for withdrawal (optional, but appreciated)
- Any other relevant details
The editorial team will acknowledge the withdrawal request and update the submission status in our records.
Withdrawal after peer review or acceptance: If an author wishes to withdraw a manuscript after it has entered the peer review process or after it has been accepted for publication, the request must be submitted via email to the editorial office. The request should include:
- The manuscript title and ID number
- A clear statement explaining the reason for withdrawal
- Any relevant documentation, if applicable (e.g., ethical concerns, issues with data integrity, etc.)
The editorial team will review the request. If the article has already undergone peer review or been accepted, authors may be asked to provide additional justification for the withdrawal request. Depending on the stage of the publication process, the journal may require formal retraction procedures instead.
Withdrawal after publication: Once an article has been published, authors can no longer withdraw the article from the journal. If there are issues with the published work (e.g., discovery of major errors, concerns about research integrity, or violations of ethical guidelines), the author(s) must request a formal retraction. Retraction requests should be sent to the editorial office, providing:
- A clear and detailed explanation of why the retraction is necessary
- Any supporting documentation, if relevant
The editorial team will then evaluate the request, consult with the authors and relevant parties, and issue a formal retraction if necessary. A notice of retraction will be published, and the article will remain in the journal’s archive with a retraction statement.
3. Conditions for Withdrawal
Ethical and legal considerations: Manuscripts that are under investigation for ethical violations (e.g., plagiarism, data falsification, unethical authorship practices) cannot be withdrawn without the editorial team first addressing the issue. In these cases, the editorial board may initiate an investigation before processing a withdrawal request.
Duplicate submissions: If a manuscript is submitted to Journal by VISWAM PUBLICATIONS while simultaneously being considered by another journal (a violation of standard publishing practices), withdrawal will be necessary. The author will be asked to confirm that the manuscript is not under consideration elsewhere and that it has not been published or accepted for publication elsewhere.
Impact on the peer review process: If a manuscript is withdrawn after the peer review process has started, authors are expected to inform the journal promptly. In such cases, authors may be required to compensate the reviewers for their time (though this is rare and will be discussed on a case-by-case basis).
4. Consequences of Withdrawal
Before peer review: There are no penalties or consequences for withdrawing a manuscript before the peer review process begins.
After peer review or acceptance: If a manuscript is withdrawn after it has entered the peer review process or after acceptance, the author may be prohibited from submitting future manuscripts to Journal by VISWAM PUBLICATIONS for a specified period, especially if the withdrawal is without a valid or justified reason.
After publication: If an article is withdrawn after publication, the author may be subject to an official retraction process, and a retraction notice will be published. This may affect the reputation of the author(s) and could have consequences for their academic standing, depending on the nature of the issue.
5. Handling of Withdrawn Manuscripts
Status of withdrawn manuscripts: Once a manuscript is withdrawn from the review or publication process, it will be marked as “withdrawn” in the journal’s records, and no further processing will occur. The withdrawn manuscript will not be published or publicly displayed.
Preservation of records: Even if an article is withdrawn, it may still be retained in the journal’s database for archival and record-keeping purposes. A note indicating that the manuscript was withdrawn will be included in the journal’s internal records, and any reviewer feedback will be preserved.
6. Rejection vs. Withdrawal
Withdrawal is different from rejection: Withdrawal means that the authors voluntarily decide to remove their manuscript from consideration at any stage of the process, whereas rejection refers to the editorial decision to decline the manuscript after it has been reviewed. If a manuscript is rejected, authors can choose to submit it elsewhere.
7. Communication and Transparency
Notification of withdrawal: The editorial team will acknowledge receipt of withdrawal requests and will inform the authors of the outcome promptly. If the withdrawal is granted, the status of the manuscript will be updated in the journal’s system, and all relevant parties will be informed.
Confidentiality: The withdrawal process will be conducted confidentially. Authors’ reasons for withdrawal will not be disclosed publicly unless the authors choose to make that information available.
